BN Care: putting AI to work so care teams can focus on people
BN Care Holdings runs nursing and residential care homes across the South West of England. We built them an AI assistant that handles families' questions around the clock, freeing every member of staff to stay where they belong: with residents.

A care group built on the belief that home should feel like home
BN Care Holdings operates a group of nursing and residential care homes across the South West of England, with its head office in Milton Keynes. The group specialises in elderly care and dementia nursing, running homes in Exeter, Charmouth in Dorset, and Cullompton in Devon. Each home is designed to feel genuinely domestic rather than institutional, with an emphasis on personalised, compassionate care tailored to each resident's life, history, and preferences.
The families who trust BN Care with their loved ones often come to them during one of the most emotionally demanding periods of their lives. They need reassurance, accurate information, and someone who will actually engage with their questions. They do not always ring during office hours. They research in the evenings, at weekends, when a worry surfaces and cannot wait.
For a care group running multiple homes, that creates a real tension. The people best placed to answer families' questions are the care staff and coordinators who are, rightly, focused on residents. Pulling them to the phone or inbox every time a family has a quick question about room availability, fee structures, or what to bring on a first visit chips away at the uninterrupted time that good care depends on.

Families get a real answer at any hour, not a holding message
Care home enquiries rarely arrive at convenient times. Families research in the evenings, on weekends, and during moments of worry that cannot wait. First Essential's AI assistant sits on the BN Care website around the clock, responding instantly with accurate, on-brand answers drawn directly from the group's own information.
Every unanswered question is a family left waiting
Care home enquiries carry a weight that an unanswered email or a missed call cannot absorb. Families weighing up a care home for a parent or grandparent are making one of the most significant decisions they will ever make. They want to feel heard quickly, and they want accurate information, not a holding response.
When BN Care came to us, the picture was familiar. A well-run group of care homes, deeply committed to quality of care, with a website that described their homes and their values clearly. But the gap between a family arriving on the site and that family receiving a real, useful answer to their question was longer than it needed to be.
The enquiry route was a contact form or a phone call, both of which land in the same inbox and the same queue. Outside office hours they sat unread. Inside office hours they sat behind everything else the team was managing. Care staff were occasionally pulled in to answer what should have been a quick question. The experience for enquiring families was patchy, and the admin overhead for the team was real.
What BN Care needed was not more staff or a bigger inbox. They needed an intelligent first point of contact that could respond immediately, accurately, and with the tone a care group's communications deserve, whatever the time of day.
"Families doing their research late at night should not have to wait until Monday morning for a first response. That is the gap the AI assistant was always going to close."
AI and automation built precisely for what they needed
We kept the scope deliberate. No unnecessary complexity, no technology for its own sake. Just the tools that would solve the real problem, built cleanly and set up to work together.
AI assistant on their website
We built and configured an AI assistant that sits on the BN Care website and engages with families in real time. It handles the questions that come up most: what types of care are offered at each home, how to start the admissions process, what fees look like, what to bring on an initial visit, how dementia care is structured, and dozens more. The assistant draws on BN Care's own information, responds in a warm and considered tone, and is available every hour of the day without any staff involvement. A family researching at ten on a Sunday evening gets a proper, helpful answer, not a holding message.
Back-end automation
Alongside the visitor-facing assistant, we wired in automation to handle the admin flows that run behind it. When an enquiry comes in, the information it contains reaches the right person on the BN Care team without anyone needing to copy, paste, forward, or chase. The system captures what the family has shared, routes it appropriately, and flags it clearly, so the coordinator picking it up has everything in front of them and can focus on the conversation rather than the housekeeping. The team works the enquiry; the automation handles the leg work.

Every enquiry routed, organised, and ready for the team - automatically
Behind the visitor-facing assistant, First Essential One handles the admin layer. When a family submits an enquiry, the details are captured, categorised, and delivered to the right coordinator without any manual forwarding or chasing. The team picks up a fully organised lead and gets straight to the conversation that matters.

Families get answers faster, and care staff stay where they belong
The AI assistant transformed what it feels like to land on the BN Care website as an enquiring family. Rather than filling in a form and waiting, visitors now get a real, substantive response in the moment. The assistant is calm, clear, and consistent in its tone because it is built on BN Care's own values and information, not generic scripts. Whether someone asks about respite care or what the homes' dementia support looks like, the response is considered and specific.
For the team, the shift has been equally meaningful. The repetitive first-touch enquiries, the calls about availability, the emails asking what to bring, the questions that were already answered on the website if only the visitor could find them, no longer land in the team's lap. The automation layer means that when a coordinator does pick up an enquiry, the details are already organised and waiting. There is no manual chasing, no copying information from one place to another, no interruptions to the floor routine.
What BN Care gained is not simply a smarter website. It is a quieter, better-organised operation that lets the people who work there focus on the work that actually matters: being present with residents and providing the quality of personal care that the group was built to deliver.

A reassuring first contact that never has an off day
The assistant is built on BN Care's own values and information - not generic scripts. Whether a family asks about dementia support, fee structures, or what to bring on a first visit, the response is considered, accurate, and in the tone the group's communications deserve. Every family receives the same quality of first contact, regardless of when they reach out.
